IntroductionPrivacy is important to DOrunning CIC. This Privacy Policy contains information on how we intend to collect, store and destroy data and the purposes for which we do this. This policy applies to all data collected via our website, social media channels, emails and subscriptions.

Who we are
DOrunning CIC is a running based health and wellbeing Community Interest Company working in the community and with selected charities, looking to offer no obligation activity and support to all.

What information we collect
We collect data from members for safety reasons and to share, on occasion, important Club updates. When a member registers with the club, they will be asked to provide their own name, gender, date of birth, phone number and email address along with the name and phone number of an emergency contact. Once this information has been collected, the member is allocated a
‘squad number’ which their Data is held against on a secure digital document – the original form is securely destroyed.
If a website visitor wishes to opt-in for updates or if they submit a contact form, they will be asked to provide their name and email address. This is stored in a secure digital document and used for the purpose of email newsletters or returning contact, as specified on opt-in by that visitor at the time of giving information.
How we use personal information
We have a legitimate basis for collecting members’ personal data to enable DOrunning CIC to provide a safe service to members. For members who give additional consent, we use the data for the improvement of member experience of the Club. This includes providing news updates, marketing information, event bulletins. Website visitors who choose to provide personal data are given the choice to opt-in to future marketing communications from DOrunning. If they do not opt-in, their data will be used solely to respond to their reason of contact.
We do not share data with any Third Party Organisations – all data you provide will be used by DOrunnning CIC for DOrunning CIC operations only.
How we secure personal data
DOrunning CIC takes the security of the data it collects seriously. Some data is collected in a hard copy format, this is inputted to an encrypted digital file at the earliest opportunity and the original securely destroyed accordingly. Designated members of each Running Group will have access to an emergency contact list for use in the case of an emergency. These members will be trained on the Club’s Privacy Policy and the correct and proper use of Data.
The DOrunning website is administrated on a secure system which protects the data collected via website forms. If consent is given, this will data will be transferred on to DOrunning’s secure folders.
How long we keep your personal data for
Unless a subject requests otherwise, data will be retained for a period of four years from the last activity with the Group, at which point that subject’s data shall be securely destroyed.
Your rights in relation to personal data
You may request access to your data from DOrunning at any time – known as a subject access request. Equally, you may request DOrunning’s deletion of your data or amend your opt-in preferences at any time. To submit a subject access request, email des@dorunning.org.uk. All requests will be dealt with in 10 working days.
If, for any reason, you wish to complain about DOrunning’s handling or processing of data, you can do so with via the Information Commissioners Office either online https://ico.org.uk/make-a-complaint/ or by phoning 0303 123 1113.
Third party content
DOrunning CIC has active social media channels for the use of its members; namely Facebook, Twitter and Whatsapp. Members are invited but not obliged to use each of these channels and should be aware that each has their own privacy policy.
If a member consents to join the Whatsapp group, they should be aware that their telephone number will be visible to the other members in the group.
External websites are referenced throughout the DOrunning website, we accept no responsibility for the content of any linked website and visitors should check the Privacy Policies of each.
DOrunning reserves the right to amend this privacy policy at any time and existing Data shall be handled according to the most recent version.
